Transcription & Meeting Notes
We tested and ranked 145 Transcription & Meeting Notes apps for Mac — updated August 2026.
Every app here was run on our own Apple-silicon Macs and scored on the published rubric — capability, craft, privacy, value. We watch the network while we test. How we rank →
You have a recording of a meeting, a lecture, or an interview, and you need it in text — with summaries, action items, or subtitles. These Mac apps turn that audio into structured text using on-device AI, so your recording stays on your machine instead of streaming to someone else's server.
We scored 145 transcription and meeting-notes apps in the Mac App Store that perform at least some processing locally. The field ranges from single-purpose Whisper transcribers to full meeting companions that generate summaries, speaker labels, and task lists. Engines include OpenAI's Whisper, NVIDIA's Parakeet, Apple's Speech framework, and Apple Foundation Models. Here are the highest-scoring apps across capability, craft, privacy, and value.

How to choose Transcription & Meeting Notes for Mac
Start with what you need beyond the raw transcript. If a clean text file is enough, a focused transcriber like Whisper Notes or Aiko will do the job with minimal overhead. If you need summaries, action items, or the ability to ask questions about what was said, look for apps that bundle an on-device LLM — Sono runs Llama locally for exactly this, while Contextly Notes leans on Apple Intelligence.
Model choice affects accuracy and speed. Most apps here offer Whisper in multiple sizes; larger models handle accents and background noise better but use more memory. A few apps add Parakeet as a faster English-first alternative. Apps built on Apple's Speech framework are lighter but may trail Whisper on difficult audio.
Privacy is a spectrum in this category. Pure-local apps like Whisper Notes and Hello Transcribe never open a network socket — your audio stays on disk. Hybrid apps like Omi and Whisper Transcription offer a local mode you have to opt into; their default path touches the cloud. Read the settings, not the tagline.
Finally, pricing: several top picks are one-time purchases under $10, and many strong contenders are free. Subscription models in this category tend to meter cloud transcription hours, not on-device use.
Questions people ask
Can I transcribe a meeting recording without uploading it anywhere?
Yes. Apps like Whisper Notes, Aiko, and Hello Transcribe run their speech models entirely on your Mac — the audio file never leaves the device. You import or record, the on-device engine processes it, and you get a transcript without any network call. Hybrid apps like Whisper Transcription also offer a downloadable local model for offline use, but you need to select that mode manually in settings.
Which transcription app handles the most languages on-device?
Whisper Notes and Aiko each cover 100-plus languages using local Whisper models, and Sono claims 99 languages with its on-device Whisper and Parakeet stack. Language coverage depends on the underlying model size — larger Whisper variants generally handle more languages and accents with fewer errors. If you only need English, Parakeet-based engines tend to be faster.
Do any of these apps generate meeting summaries and action items locally?
Several do. Sono runs a local Llama model to produce summaries, action items, and a chat interface on top of the transcript. Contextly Notes and Perspective Transcribe use Apple Intelligence for on-device summaries and Q&A. Omi can generate summaries locally if you switch it to cloud-free mode. Whisper Notes deliberately skips summaries to avoid adding any network path — it outputs the raw transcript only.
