AI Task & Project Planning
We tested and ranked 42 AI Task & Project Planning apps for Mac — updated August 2026.
Every app here was run on our own Apple-silicon Macs and scored on the published rubric — capability, craft, privacy, value. We watch the network while we test. How we rank →
You have a pile of things to do, some vague goals, and no clear idea what to start first. An AI task planner takes that mess and gives it structure — parsing natural language into deadlines, breaking projects into steps, or sorting today's priorities so you actually move forward.
This directory covers 42 Mac-compatible apps that use on-device AI to handle some part of that job: quick-capture tools that parse "call dentist at 2pm" into a timed reminder, full life-planners that span decade-to-day goals, and brain-dump apps that extract the real tasks from a wall of text. Most run on Apple Intelligence or local NLP, so your plans, half-formed thoughts, and daily priorities stay on your hardware. We scored each app across Capability, Craft, Privacy, and Value — the list below starts with the strongest overall picks.
The ranking — all 42
Nyblit - Smart To-Do List
David MargolisA state-based to-do app that tracks tasks as Blocked, Later, or In-Progress rather than just done or not done. Apple Intelligence generates custom statuses on-device, iCloud sync is encrypted, and the one-time purchase means no recurring cost.
” Let our AI generate custom task statuses for you (Apple Intelligence required) — test note
Y-Pod: AI Daily Planner
Yhanco Grey EstebanAn ambitious life planner spanning decade-down-to-day timeframes, with a private G-NEE AI assistant that delivers personalized daily focus suggestions entirely on-device through Apple Intelligence.
” On-device AI via Apple Intelligence... No cloud processing of your private thoughts — test note
Taskful Day: Day Planner
Antti AittamaaA calm day-planner with four time views — list, clock, river, and map — whose on-device NLP parses natural-language input in eight languages, plus mood-aware analytics that track how your day felt.
” without sending a syllable to a server — test note
RepVault
Kidunot Technologies, LLCA strength-training tracker with a progressive-overload engine where RepVault AI uses Apple Intelligence to generate personalized workout plans on-device. It earns a spot in task planning by genre crossover rather than core purpose — this is fundamentally a fitness app.
” RepVault AI ... powered by Apple Intelligence ... instantly generate a personalized plan — test note
BriStacks
scott hallDescribe what you want to track in plain language and Apple Intelligence builds a custom Stack with the right fields, entirely on-device. A genuinely AI-native approach to personal organization that lets you invent your own tracker rather than fitting into someone else's template.
” All AI processing happens on-device using Apple Intelligence — test note
StartChunk
洪业 李Takes an overwhelming task and breaks it into small steps organized by an Eisenhower matrix, using Apple Intelligence on-device with a template fallback for hardware that lacks it. Exports cleanly to Apple Reminders for follow-through.
” no account, backend, external AI provider, or tracking — test note
Taido
Emad AliA menu-bar task capture tool that uses Apple Intelligence to parse dates, times, and priorities from natural-language input on-device. Always one click away and private by design — ideal for people who want frictionless always-ready capture without a full planner.
” Taido uses Apple Intelligence to understand tasks — test note
Prep the day
Mikoto PerutA morning brain-dump app where you pour out everything on your mind and on-device Apple Intelligence extracts the real tasks, drops the noise, and returns a prioritized list. Simple, focused, and it works offline.
” All AI runs on your device using Apple Intelligence. Your text never leaves your iPhone or iPad — test note
Atempo
Karl KochA notebook-style planner with an analog-paper feel whose Apple Intelligence layer powers weekly reflections, pattern insights, and natural-language semantic search across all your items, running entirely on-device.
” Semantic Search: Find items using natural language powered by on-device Apple Intelligence — test note
3Things Tasks Habits & Planner
Giulio FontanaBuilt around the constraint of picking just three things per day, with energy-aware scheduling that matches tasks to your best hours. Apple Foundation Models deliver task insights on-device, and integrated habits plus a calendar round out daily planning.

How to choose AI Task & Project Planning for Mac
These apps share a surface — they all turn words into tasks — but they differ sharply in how deep the AI goes and what kind of planning they support.
Scope of AI matters most. Some apps use AI only for parsing input (extracting a date from "tomorrow at 3pm"), while others generate entire project breakdowns or suggest what to work on next based on patterns. If you want AI to actively shape your day, look for daily-focus suggestions or task decomposition features (Y-Pod, StartChunk). If you just need faster capture, a natural-language parser like Taido or Taskful Day is lighter and more predictable.
Planning philosophy varies widely. A three-task-a-day minimalist approach (3Things) works differently from a decade-to-day life planner (Y-Pod) or a build-your-own tracker generator (BriStacks). Match the app's philosophy to how you actually work — forcing a GTD framework on someone who thinks in morning brain-dumps leads to abandonment.
Nearly every top-ranked app here runs on Apple Foundation Models, which requires Apple Intelligence-capable hardware (M-series Mac, recent iPhone or iPad). A few offer fallbacks: StartChunk uses on-device templates without Apple Intelligence, and Taskful Day runs its own NLP parser independently.
Every app in the top ten is free to start. Look at what sits behind a paywall — some lock core features behind subscriptions while others offer lifetime unlocks or stay entirely free.
Questions people ask
Can these AI task planners work without an internet connection?
Most apps here run their AI processing on your device through Apple Intelligence or built-in NLP, so task parsing, prioritization, and plan generation function without a network connection. Prep the day states it "works without an internet connection," and Taskful Day processes everything "without sending a syllable to a server." iCloud sync uses connectivity when available, but the AI itself runs locally on your hardware.
Do I need Apple Intelligence hardware to use these apps?
The majority of the top-ranked apps rely on Apple Foundation Models, which need Apple Intelligence-capable hardware — typically an M-series Mac or recent iPhone and iPad. A handful provide alternatives: StartChunk falls back to on-device templates when Apple Intelligence is unavailable, and Taskful Day runs its own multilingual NLP parser without requiring it. Check each app's system requirements before installing.
How is an AI task manager different from a regular to-do app?
A conventional to-do app stores exactly what you type. An AI task manager parses natural language — you write "dentist tomorrow 2pm, high priority" and it fills in the date, time, and priority fields for you. Some go further: breaking a project into subtasks, analyzing your energy patterns to suggest scheduling, or extracting actionable items from a messy brain-dump and discarding the noise.
